In AESA Core TMS, the system for orders, carriers and drivers, you put a load on the exchange straight from an email, a PDF or a photo. AI reads the stops, dates, tonnes, LDM and body type and fills in the offer form. You check the details and publish the offer with one click.
What changes for your team
A load from a customer usually arrives as an email, a PDF order or a photo in a message. Instead of retyping it field by field, you now paste the whole thing into the form. AI sorts the details into the right fields and you see the finished offer straight away. Your job is to check it, not to retype it.
How to put a load on the exchange with AI
- In the menu, click Exchange and then the Add load button. The New exchange offer window opens.
- At the top of the window is the AI offer intake bar with two buttons.
- Do you have text from an email or a message? Click Insert text, paste it into the field and click Analyze.
- Do you have a PDF, a screenshot or a photo? Click Upload file and choose it. PDF works, and so do images in JPG, PNG, WEBP or TIFF.
- After a moment you see the message Form pre-filled. Go through the form from top to bottom and correct anything that needs it.
- When everything is right, click Publish offer.
What AI reads
- Text copied from an email or from an order.
- A PDF order from your customer.
- A screenshot from WhatsApp or from an email.
- A phone photo of a paper order, even when the photo is turned sideways.
AI understands texts in Slovak, Czech, German, Polish, Hungarian, Romanian and English. Your customer can write the way they always do, and you get a filled-in form.
What AI fills in
- Stops in the right order. For every loading and unloading stop: city, postal code, country, date and time, including a window over several days.
- Company name and street. AI puts them in the Company name and street fields, which carriers do not see on the exchange. Once you agree with a carrier, they pre-fill the order.
- Cargo. Weight in tonnes, LDM, pallets, volume and whether it is a full or a part load (FTL or LTL).
- Vehicle. Body type, temperature, ADR and the ADR classes.
- Conditions. Loading method, pallet exchange, tail lift and GPS.
- Price and payment. The amount with its currency and the payment term in days.
AI also copes with common shorthand. An address such as “Bratislava 2” becomes the city Bratislava. A date without a year, for example “24. 10.”, is completed to the next such day.
What AI takes care of
- The price stays hidden. Price visibility stays Hidden — negotiable until you change it yourself. The amount in the document may be your customer's price, so carriers do not see it.
- Contacts stay out of the description. Phone numbers and email addresses from the document do not get into the offer description. Every carrier on the exchange sees the description.
- An uncertain country stays empty. If AI cannot tell the country, the field stays empty and the form points you to it. Nothing is filled in blindly.
- You publish. AI never publishes an offer on its own. The offer goes on the exchange only when you click Publish offer.
