Who sees your orders, customers and prices in AESA Core TMS
Other companies on the platform cannot see your orders, customers or prices. In your company, only colleagues with the right see prices. Here is who sees what.

No other company on the platform can see your orders, customers, carriers or prices in AESA Core TMS, the system for orders, carriers and drivers. Inside your company, only the colleagues you give the right to see prices. Below you will find exactly what a carrier, your customer and the platform support can see.
The question before any new system
You are considering a system that will hold your customers, routes and margins. Other freight forwarders, manufacturers and carriers work in it too. So it is fair to ask which of them will see your data. The short answer: none of them. The longer answer follows, point by point.
Other companies on the platform
- Every company has separate data. Orders, customers, carriers, contacts, drivers, documents and chat always belong to one company. The database lets only people from that company access a record. The server decides this, not a screen in the app.
- There are no exceptions. The rules apply to every company in the same way, including companies with AESA in their name.
- The company database does not know who you work with. You fill in a new customer's details from the AESA Database. It is a copy of public company registers. Who your customer or carrier is never gets written into it.
Colleagues in your company
- Prices have their own right. The amounts, margin and profit of an order are stored separately from the order. Only a colleague with the Order prices right can read them. Without it, the money fields stay hidden.
- You set the right for each colleague. An administrator switches it on or off in Team → Permissions, in the Orders row under Prices. A new colleague gets it according to their role, and you can change it at any time.
- Company totals have their own right too. Turnover, costs and profit of the whole company on the dashboard are shown only to colleagues with the Company figures on the dashboard right.
- Drivers never see prices. Prices never reach the AESA Drive app, not even when the driver opens the order they are driving.
Carrier
- The transport order carries only the transport price. The PDF you email to the carrier contains the route, the vehicle and the carrier price. Your customer's price is not in it.
- The customer's order is not attached to the email. The app does not offer it among the attachments for the carrier, because it contains the customer price. If someone tried to attach it another way, the server would not send the email.
- The carrier invitation has no prices or names. When you invite a carrier to the platform, the email carries only the route, the loading date and the vehicle type.
Freight exchange
- What companies on the exchange see. Your company name, rating and the name of the contact person. For stops, the city, postcode and country, plus the dates and the load.
- What stays hidden. The company name and street at loading and unloading. They are revealed to the other side only after both sides confirm the deal.
- Price proposals stay between two companies. A carrier's price proposal is visible only to you and the company that sent it.
- You can hide your price. For the price display, choose Hidden — negotiable. Carriers propose their own prices and do not see your target.
- An offer only for selected companies. You send a VIP offer directly to 1 to 20 companies or to a group of selected partners. Other companies do not see it. If you set a publication time and nobody takes it by then, it appears on the public exchange.
The exchange is free of charge for every approved company until 31 December 2026.
Your customer
- The tracking link shows only the transport. Without logging in, the customer sees the status, the estimated arrival, the cities and countries of the stops, the dates, the load and the licence plate. The driver's name is shortened and their phone number is shown only if you switch it on.
- No price, carrier or streets. The link does not show the price, the carrier's name, exact addresses or the order number.
- Position only during the transport. After unloading, the map keeps the last location. The link stays valid for 3 more days after the last unloading, and you can revoke it at any time.
What the platform sees and why
The platform can see data too. Here is exactly when and for what.
- Company verification. We verify every company before it gets access, within 24 hours. We see the registration details and the company document, if you upload one.
- Support. AESA Investment OÜ support sees company details, the team, orders and directories in the administration. It needs them to help you. Order prices are not there.
- We do not read your chat. Support opens only a message that someone reports, and every opening is logged. Support never logs into the app as you.
- Authorities. At the request of the police or a court with a case number, we hand over the records for one order. Only a platform administrator with the highest permission may do this, and every such export is logged.
- We do not use your data for our own purposes. For your orders, AESA Investment OÜ is only the processor. We do not sell the data or run our own analytics on it. We process it in the EU.
Your data belongs to your company
- Export at any time. In Settings → Security, an administrator clicks Create export on the Download all company data card. They get a ZIP with CSV tables, JSON data and the uploaded documents. You can run an export once every 24 hours.
- Time after termination. When the contract ends, you have 30 days to download your data. We send reminders before anything is deleted.
Who sees what is decided by the server according to the company and permissions, not by the goodwill of other users.
